The Office Administrator plays a key role in ensuring the smooth and efficient operation of the office. This position supports various administrative tasks, such as front desk management, office supplies and inventory management, travel arrangements, scheduling and coordination, IT and technical support, mail management, expense tracking and reporting. Additionally, the Office Administrator manages office resources and assists in daily operational activities to maintain a productive work environment.
Responsibilities:
Greet visitors, answer incoming calls, and handle inquiries in a professional and friendly manner
Monitor, order, and maintain office supplies on a weekly basis; manage vendor relationships to ensure the office is fully stocked
Schedule appointments, meetings and conferences; assist in calendar management and meeting room reservations
Book flights, hotels, and other travel accommodations for employees as needed
Organize and maintain electronic and physical files, ensuring information is easily accessible; input and update data in company databases
Draft, proofread, and office communications and memos, including distribute social media posts
Coordinate with the IT department to resolve computer issues for employees, troubleshoot and fix printer issues, and set up computers for new hires
Organize company events, including meetings, staff gatherings, and celebrations
Coordinate repairs and maintenance for the office, manage cleaning, and cooperate with building management as needed
Handle incoming and outgoing company mail, ensuring timely distribution
Assist with expense reports, and maintain accurate records of office expenses
Qualifications:
Proven experience in an administrative or office support role
Excellent organizational and multitasking abilities
Proficiency in MS Office (Word, Excel, Outlook) and basic knowledge of office equipment
Strong verbal and written communication skills
High attention to detail and accuracy
Ability to work independently and as part of a team
Problem-solving skills and a proactive attitude
Pay: $21-$23 (estimated)
